KYC Hospitality Privacy Policy

This policy explains how KYC Hospitality Inc. ("KYC," "we," "us") handles personal information when you visit kychospitality.com, contact us, evaluate or purchase our products, receive marketing from us, or apply for a job with us. For this information, KYC is the controller.
This policy does not cover the guest communications platform we provide to hotels. When a hotel guest exchanges messages with a property that uses our software, we handle that information on the hotel's behalf, not our own. That is described in our Platform Privacy Notice at kychospitality.com/platform-privacy.
The distinction matters in one place in particular. We use cookies and advertising technology to market our products to hospitality businesses, and we obtain business contact information about prospective customers from data providers. We do not do either of those things with hotel guest information. Guest information and messaging platform data are never used for advertising, never enriched from outside sources, and never sold.
We collect information you provide when you fill in a form, request a demo, subscribe to updates, contact support, attend an event, or apply for a role. This typically includes your name, business email address, phone number, company, job title, and anything else you choose to tell us. If you apply for a job, it also includes your CV and the information in it.
We invoice our business customers and do not collect payment card details through this website.
Information we collect automatically
When you use our website we collect your IP address, browser and device type, operating system, pages viewed, access times, and the page that referred you. We collect this through cookies and similar technologies. See "Cookies and Similar Technologies" below.
Information we obtain from others
We obtain business contact and company information about prospective customers — such as name, job title, work email address, work phone number, employer, and publicly reported company details — from commercial data providers and publicly available sources, including professional networking sites and company websites. We use it to identify and contact people who may have a professional interest in our products.
If you would prefer we did not hold or use your information this way, email privacy@kychospitality.com and we will remove you from our prospect records.

We keep personal information for as long as needed for the purpose it was collected, and then delete or de-identify it. In general we keep enquiry and prospect records for as long as we are actively engaged with you and for a reasonable period afterward; customer contact and contract records for the life of the relationship and for the period required by tax, accounting, and limitation rules; and job applicant records for the period permitted by applicable employment law. We keep information longer where the law requires it or where it is needed to establish or defend legal claims.
Depending on where you live, you may have the right to access the personal information we hold about you, correct it, delete it, obtain a portable copy, restrict or object to how we use it, withdraw consent, and opt out of targeted advertising or profiling. You will not be treated differently for exercising these rights.

California
California residents may request the categories and specific pieces of personal information we have collected, the sources, the purposes, and the categories of recipients; may request correction or deletion; and may opt out of the sharing of personal information for cross-context behavioral advertising. We do not sell personal information. To opt out of sharing for advertising, use the cookie banner or send a Global Privacy Control signal. California residents may also request information about disclosures to third parties for direct marketing purposes under California's Shine the Light law.
EEA, United Kingdom, and Switzerland
You may exercise the rights described above and lodge a complaint with your local supervisory authority. If you have a concern, we would appreciate the chance to address it first.
KYC is based in the United States, and the information described in this policy is processed in the United States and in other countries where our service providers operate. Where we transfer personal information out of the EEA, United Kingdom, or Switzerland, we use an appropriate safeguard recognized under applicable law. We maintain administrative, technical, and physical safeguards designed to protect personal information against loss, misuse, and unauthorized access, disclosure, alteration, and destruction.
Our website and our products are directed to businesses, not to children. We do not knowingly collect personal information from children under 16.
We will update the date at the top of this policy when it changes. Where the change is material we will provide additional notice, such as a notice on our website or a direct message.
